Filter Your Dupes!

How do you manage your duplicate accounts in Revolution Online? Maybe you have no problem staying on top of them and your list is nice and short requiring mere minutes a day to clean out? Yeah, right. More likely you have some number of duplicates that require manual review and can’t be combined through an automated duplicate combine sweep.

So how do you divvy them up? You could do it alphabetically among the staff: for example Donnie handles A-M and Marie gets N-Z. That could work, but you’d probably like to focus on certain types of constituents such as Foundations or high dollar donors, right?

Well if you’ve read one of these updates before, you probably know that we’re about to spring a solution to this problem on you, and – in fact – we are: introducing: Filtering your Duplicate Lists by Account Class and Membership Type:

So now you can filter your list down to just records that meet your criteria. For example, you can filter it to show only records with an Account Classification of Individual and a Membership Type of General Member. The record will be returned if either the base record or any of the dupes meet the criteria.

All of the existing duplicate screen tools you’ve come to know and love, like merging, householding, and marking similar records as “not dupes” are still there, this just helps you prioritize your clean-up.

Additional Pledge Info in Batch Screen

Do you ever run into a situation where you key a gift to a pledge source code but the constituent doesn’t have a pledge? How about keying a gift to a pledge source code and the constituent does have a pledge but the gift amount doesn’t match any of the open payments on the pledge?

Would you like to try to avoid these sticky situations?

Would this help? The pledge matching functionality when keying a gift has been enhanced to include additional information about the pledge, allowing you to quickly confirm that the gift matches correct to a pledge.

If you key a gift to a pledge source code and there is no pledge, you will get a warning as soon as the donor_id, source and amount are entered:

If there is an active pledge, the pledge details will be returned allowing you to review them for accuracy. The overall pledge type and pledge status are returned along with the following information about the scheduled payment: payment method, payment amount, fund allocation and which member of the account made the pledge.

At this point you can adjust the gift or the close out of the batch and adjust the pledge if necessary to get the payment and the pledge to be in sync.

Did You Know?

You can now attach documents to multiple source codes at once? If you have Mail2DB set up in your database, you can now email documents to the database and attach them to as many source codes as you want. This feature is similar to emailing a comment, major gift note or planned giving note to the database: just attach the document or documents to the email and add the source codes to the body of the email with the prefix “SOURCE:” before each one.

The documents can be viewed by clicking on the folder icon next to the source code in the promotions tree. Here is a view of the documents screen for a source code:

Adjust Your Source Codes

Ever run into a situation where you keyed a bunch of donations and 2 minutes, 2 days, or 2 months after you lock the batch you realize that some of the gifts were keyed to an incorrect source code? As you know, you could use Revolution Online’s handy-dandy Correction Batch feature to create a new batch that contains all the transactions you want to update and quickly go through and rekey the source code for each transaction. Easy, no?

But what if we told you there was an even easier way to do it? Well there is so consider yourself told.

Here’s how it works. The new Adjust Source Code screen appears under the Misc Adjustments section of the Batch Input tools menu. Once selected you will be given the option to select an account, identify the transaction to recode and then key in the new source code. When you select the transaction to adjust, the new value column populates with the old source code which can be edited or replaced.

The screen allows you to adjust up to 50 source codes at a time.

Pending source code changes can be viewed on the Pending Source Updates screen.

A similar function has been created to adjust the Origination Vendor on transactions. Please check with your technical account manager if your organization would like access to these functions.

View Contact Results

We’ve seen it plastered all over Facebook, Twitter and even spray painted on the walls of the Dupont Circle Metro station. We get it, you like our promotion tree with its summary of transactions at any level as well as its view of individual donors and contacts. Thanks, we appreciate that. But we thought to ourselves, “You know what would make this even awesomer-er?”

Contact Results!

What if you could see the results of all contacts at each level of the promotion tree? Well, guess what, now you can. Just click the results button at any level of the promotion tree.

The resulting screen shows all contact results for the source codes at that level of the tree. The results screen is filterable either by donor, source code, contact result, or by result range.

Did You Know?

You can hide cancelled/closed pledges. The “show in tree” section of the pledge screen allows you to either show all pledges on the record or show only the active pledges.
